Administrative Assistant to the Superintendent and Board of Education

The Administrative Assistant to the Superintendent and Board of Education performs organizational, coordination, planning and managerial responsibilities to accomplish objectives of the Superintendent and Board of Education.  Responsibilities include prioritizing and executing complex, competing tasks: ensuring smooth workflow; coordinating meeting arrangements; taking and preparing informal and official minutes; excellent communication in person, in writing, or online; and setting district standards for customer service. The position requires exceptional skills in all of the following areas: project coordination, self-starting and self-managing, and the ability to work well with all levels of employees, including parents/guardians, business people, community members, and members of the Board of Education.

This is a full-time, 12 month position working out of the District Office at Chilton Public Schools.

Essential Functions:

Prepare School Board meeting agendas and packets, posts proper notices of School Board meetings, and maintain permanent records in accordance with Wisconsin statutes regarding open and closed meetings.

Attend all Board meetings, record minutes for the Board of Education, and disseminate official minutes.

Maintain knowledge of District procedures and timelines and communicates them with other staff and community members.

Compile information for expulsion hearing and send out appropriate notices.

Responsible for overseeing and maintaining accurate records and expenditures of Superintendent and Board budgets; including the processing of requests for purchase orders.

Review School Board policies on an ongoing basis; including working with the Board to update policies.

Facilitate Board elections: learn and enforce election requirements for candidates, develop and monitor timetables and deadlines, accept filing, send election information, following with filing and publication.

Receives telephone calls and visitors to the Superintendent’s office, always exercising tact and diplomacy when dealing with individuals.

Maintain records as required by law, school district policy, and administrative regulations in accordance with the Department of Public Instruction records retention policies and state law.


Ability to create and maintain accurate records.

Initiative and self-motivation to work independently, while at the same time working in a supportive team environment.

Ability to respond to a broad spectrum of inquiries and requests, in a professional and respectful manner.

Demonstrate accuracy and attention to detail, demonstrating strong grammar and proofreading skills.

Ability to communicate effectively in English, both orally and in writing, using proper grammar.

Sound judgement in handling sensitive situations and confidential information with integrity and professional demeanor.

Minimum of 5 years of administrative assistant experience in a school setting.

Minimum of 3 years of significant experience providing support to a District Administrator in a school setting.

Proficiency in Microsoft.
